Next Ventures are currently executing a search for a UKG SME for a new specific function & change request . This is primarily a functional role, with some awareness of technical capabilities.

(remote working role) .

Duration 3 to 4 months initially.
Must be eligible to work and travel to Belgium for 1 week (workshop).

Change Request Specification: Yearly Holiday Wave

Objective
Implement enhancements in UKG MyTime to support the annual holiday wave process, ensuring compliance with client Belgium's holiday planning process, approval timelines, and reporting requirements.

Requirements
1. Annual Holiday Request TOR
Requirement

  • Create a new primary Time Off Request (TOR) for annual leave.
  • A co-worker may submit this TOR only once per calendar year.
  • The TOR should ideally be presented as a sub-question during the holiday request process in the Cascade workflow.
  • The TOR status should be visible to both:
    • The co-worker
    • The manager

Business Reason
Visibility is required because the annual holiday request is linked to the priority rules used within Belgium.

2. Automatic Approval Outside Holiday Waves

Requirement
Configure automatic approval for holiday requests submitted outside the official holiday wave periods.

Holiday Wave Periods

  • Wave 1: 1 September to 30 September
  • Wave 2: 1 December to 7 January

Business Rule

  • For requests submitted outside these periods:
    • The manager has 8 days to approve or reject the request.
    • If no action is taken, the request should be automatically approved on the 9th day after submission.

3. Temporary Unpaid Leave TOR During Holiday Wave 1

Requirement
During Holiday Wave 1 (1 September to 30 September), co-workers who have not yet received their annual holiday entitlement should still be able to participate in the holiday planning process.

Create a new TOR:

  • Name: Unpaid Leave to Be Switched

Behaviour

  • The TOR should function identically to the existing Unpaid Leave TOR.
  • It should only differ by name for identification and reporting purposes.

Business Reason
Payroll allocates the annual holiday counters around 20 January. Until then, some co-workers cannot request annual leave because they do not yet have available balances.

Using a separate TOR allows the business to:

  • Report all such requests easily.
  • Convert these requests to the standard annual holiday leave type in Cascade once the holiday balances have been assigned by Payroll.

Summary of Functional Requirements

FR-5 Reporting The new TOR must be distinguishable for reporting and later conversion to annual leave after Payroll updates holiday counters (approximately 20 January).
